AI admin help in QuickBooks
Take bank categorising and receipt chasing off your staff in QuickBooks Online. Free your team for the work only people can do.
๐ Where it works
QuickBooks Online has separate versions for the US, UK, Canada, Australia and other regions. Menu names and features can differ, so use the help site for your country. Some AI features are US first.
5 steps
- 1
Connect your bank and card feeds.
- 2
Go to All apps, Accounting, then Rules, and create bank rules for regular transactions (up to 5 conditions each). Use Test rule if you have pending transactions.
- 3
Only turn on auto post for rules you are sure about. Auto posted lines skip your review.
- 4
Where available, use Ready to post: QuickBooks marks transactions ready only when your history and your criteria back the suggestion. AI never overrides your bank rules.
- 5
Use Requests for more information to ask staff or clients for missing receipts from inside QuickBooks, then review the replies.

๐ Keep it safe
A person still reviews and approves anything that hits your books or goes to a customer. Your accountant or bookkeeper signs off. Not tax or accounting advice.
๐ Option 1: Do it free
Open source tools you can run yourself, no licence fees. You will need someone handy to set them up and keep them updated.
- Invoice Ninja: quotes, invoices and reminders.
- Odoo Community: run the whole business: stock, crm, hr.
๐ฆ Option 2: Get the click by click pack
Plain guides and prompts in a ZIP. Pay once, no subscription. It is a set of guides, not software. The packs cover the 18 most common boring office jobs. This one does not have its own section in the pack yet.
